Translation Office

Procedures for Spanish Translations


The district is limited in what we will be able to translate and interpret based on availability personnel and resources.  Priority will be given to those matters that are legally required.


Legal matters include, but are not limited to:

  • IEP Team Meetings/Assessment
  • 504 Assessments
  • Student Discipline Hearings
  • Law Enforcement/ Child Protective
  • Free Reduced Meals
  • Health/Medical Emergency
  • Discrimination Complaints
  • Student Manifestation Hearings


Incidental non-legal written translations will be prioritized and requests will be filled as appropriate. We translate:

  • District forms, letters, surveys, and newsletters
  • Community council materials of general interest such as the school
  • Certain school-wide communications depending on the timeline
  • Standard translated documents posted on the web page
  • Other items in the interest of educational equity


For school documents, please submit your requests 5-8 business days in advance and preferably in Word format.  (If it will take longer, you will be notified.)


For parent/teacher conferences/school activities please give a 3-5 day notice, if possible. This is to allow time to secure an interpreter.


Please note that we are not responsible for the quality and accuracy of the translation if it is altered in any manner after delivery without the approval of Translation Services. Also, We are not responsible for the accuracy of translations done through School Loop. The district is not able to control the translation of this service.  Please take note that School Loop does not translate PDF files.  Your documents can be translated by our Translation Unit and later uploaded to the web. All translations can be delivered to you via e-mail for instant delivery.


Please note that due to liability concerns, we do not provide editing or proofreading services for documents that were translated outside of the Translations Unit.


All translations are archived electronically and by school and/or department in chronological order for fast, cost-effective updating and consistency from project to project. If you make revisions to text that has previously been translated, please identify the areas that have been changed in the original source language and we will update the translation accordingly.
